Understanding PEPPOL Compliance
PEPPOL stands for Pan-European Public Procurement Online. It’s a set of rules made by the European Union to make sure that electronic documents, like invoices, are easy to send and receive. When a document is PEPPOL compliant, it follows these rules.
Being PEPPOL compliant means your documents can be easily processed by both public and private authorities in the EU. But it’s not just for government use—many private businesses also use PEPPOL, making it easier to do business with them.
How to Ensure PEPPOL Compliance
To make sure your documents meet PEPPOL standards, you need to use something called a PEPPOL Access Point.
What is a PEPPOL Access Point?
A PEPPOL Access Point is like a gateway to the PEPPOL network. It’s a service you get from a provider that lets you send and receive PEPPOL-compliant documents. There are over 500certified Access Points worldwide.
When you send an invoice through your Access Point, it makes sure the document meets PEPPOL standards and sends it to the recipient’s Access Point. The recipient’s Access Point then delivers it to the final recipient. This process involves four parties: you, your Access Point, the recipient’s Access Point, and the recipient. This is known as the “4-corner model.”
The Role of PEPPOL Authorities
To keep the PEPPOL system reliable, PEPPOL Authorities are appointed by OpenPEPPOL. These authorities are responsible for setting national rules and country-specific requirements for service providers in their respective countries. They ensure that Access Points follow the EU’s rules and maintain the integrity of the PEPPOL network. Currently, there are 17 PEPPOL Authorities.
These authorities collaborate with OpenPEPPOL, a non-profit organization that develops and promotes the PEPPOL standard.
In short, being PEPPOL compliant means your documents follow a set of rules that make them easy to send and receive through the PEPPOL network. By using a PEPPOL Access Point and following these guidelines, businesses can ensure their transactions are efficient and compatible with partners across the EU and beyond. This makes doing business easier and more reliable.
